Phildon Technologies Inc. (“Phildon”, “we”, “us”) provides cloud infrastructure, DevOps, cybersecurity, and managed IT services. This policy explains what personal information we collect, why we collect it, how we handle it, and the choices you have.
We are accountable for personal information under our control in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Where a client engagement brings other regimes into scope, those obligations are addressed in the applicable services agreement.
1. Information we collect
Information you give us
- Contact and enquiry details — name, business email, phone number, company, and the content of messages you send through our contact form or by email.
- Job applications — name, contact details, résumé, work history, and anything else you choose to submit through our careers form.
- Newsletter subscription — the email address you provide.
Information collected automatically
- Technical and usage data — IP address, browser type, device type, referring page, pages viewed, and time spent. Collected only where you have accepted analytics cookies.
- Strictly necessary cookies — set by our hosting and security provider to route traffic, prevent abuse, and keep the site available. These do not require consent.
Client and engagement information
When we deliver services, we may process information contained in a client’s systems. We act as a service provider in that context: the client remains accountable for that information, and our handling of it is governed by the services agreement and any data processing terms attached to it, not by this policy.
2. Why we collect it
- To respond to enquiries and provide requested information
- To scope, quote, deliver, and support services
- To assess job applications
- To send updates you have subscribed to
- To secure and maintain our website and systems
- To meet legal, tax, and regulatory obligations
We do not use personal information for automated decision-making that produces legal effects, and we do not sell personal information.
3. Consent
We obtain consent before collecting, using, or disclosing personal information, except where the law permits or requires otherwise. Submitting a form constitutes consent for the purpose identified on that form. Analytics cookies are set only after you accept them through our cookie banner; you can decline without losing access to the site.
You may withdraw consent at any time, subject to legal and contractual restrictions, by contacting our Privacy Officer. We will explain the effect of withdrawal before acting on it.
4. Disclosure and service providers
We disclose personal information only as follows:
- Service providers acting on our behalf — website hosting, email, form processing, analytics, and payment processing — bound to protect the information and use it only for the services they provide to us
- Professional advisers — accountants and legal counsel, where necessary
- Where required by law — in response to a valid legal demand
- With your consent — for any other purpose
Information stored outside Canada. Some of our service providers store or process information in the United States or other countries. While there, that information may be accessible to courts, law enforcement, and national security authorities of the host jurisdiction under its laws. We use providers that offer contractual and technical protections comparable to those we apply ourselves.
5. Safeguards
We apply safeguards proportionate to the sensitivity of the information, including:
- Encryption in transit (TLS) and at rest where supported
- Role-based, least-privilege access, reviewed periodically
- Multi-factor authentication on administrative accounts
- Logging and monitoring of access to systems holding personal information
- Confidentiality obligations for personnel and contractors
No safeguard is absolute. If a breach creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as PIPEDA requires, and keep records of breaches as required.
6. Retention
We keep personal information only as long as needed for the purpose it was collected, or as required by law. Indicatively:
- Enquiries that do not proceed — up to 24 months
- Job applications — up to 24 months, unless you ask us to delete sooner
- Newsletter — until you unsubscribe
- Client records — for the term of the engagement plus the period required by applicable tax and limitation rules
When information is no longer needed, we delete it or render it anonymous.
7. Your rights
Subject to limited legal exceptions, you may:
- Access the personal information we hold about you and be told how it has been used and to whom it has been disclosed
- Correct information that is inaccurate or incomplete
- Withdraw consent to further use or disclosure
- Request deletion where we have no continuing legal or contractual basis to retain it
- Complain about our handling of your information
We respond to access requests within 30 days. We will verify your identity before acting. There is no charge for a routine request; if a request would involve disproportionate cost, we will give you an estimate and your consent before proceeding.
8. Cookies
Our cookie banner lets you accept or decline non-essential cookies on your first visit, and your choice is remembered. Analytics scripts load only after acceptance. Strictly necessary cookies set by our hosting and security provider operate regardless, as they are required for the site to function. You can also clear or block cookies in your browser settings.
9. Children
Our services are directed at businesses. We do not knowingly collect personal information from anyone under 18. If you believe we have, contact us and we will delete it.
10. Changes to this policy
We may update this policy as our services, systems, or legal obligations change. The effective date above reflects the current version. Material changes will be posted here; where the law requires, we will seek fresh consent.
